Service Tracker keeps a register of machines, vehicles and equipment per customer or site, generates service visits from a contract (first date, interval in months, number of services), flags each unit as due soon or overdue, records every visit and repair, and gives managers a monthly dashboard, a job board, branch-level access control and Excel/CSV exports.

Asset register

One record per machine, per customer.

Each unit carries its customer, location, brand, model, rating, serial number and purchase date. Avantix sets up the equipment types and extra fields for each company.

Contracts & schedules

Set it once. Every visit is generated.

A service contract has a first service date, an interval in months and a number of services. Service Tracker creates each visit. Service types can follow a sequence, such as 1K, 2K and 4K services on screw compressors.

  • Any interval in months: monthly, quarterly, half-yearly, yearly, 15-monthly
  • Contract end date, with a dashboard warning 60 days before it ends
  • Repairs and special jobs outside the contract can carry their own next date

Due soon & overdue

Every unit has a status you can read from across the room.

The device list shows each unit as Active, Due soon, Overdue or No schedule, in a table or a grid. Filter by status, customer or type, print it or export it.

  • Due soon appears before the date, so there is time to book the visit
  • Overdue visits count as missed on the dashboard
  • Units without a contract are flagged instead of forgotten

History & repairs

The machine's whole story, in order.

Every visit records the service date, type, status, delivery order and invoice status and numbers, remarks and a follow-up date. Repairs, spare parts and special jobs outside the contract are logged with title, date, cost and remarks.

Jobs & team board

From request to a team's calendar.

Job requests move from New to Accepted, then Scheduled, Done or Rejected, and can list several machines with a job type each. Accepted jobs are dragged onto a team's day on a week or month board.

Some work is a routine visit rather than a machine service: a weekly plant walk-round or a monthly check. Set the frequency in days, weeks or months and assign a technician.

Head office sees every branch; branch staff see their own. Permissions are set per screen, can be saved as roles, and are denied unless granted. Restricted mode limits a user to the units assigned to them.
